DefendHub Privacy Policy

DefendHub is operated by VoPro Strategies LLC, an Illinois limited liability company (“DefendHub,” “VoPro Strategies,” “we,” “us,” or “our”).

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you:

  • Visit a DefendHub website or application displaying this Privacy Policy;
  • Create or use a DefendHub account;
  • Contact DefendHub or an organization using DefendHub;
  • Request information, assistance, or support;
  • Register or serve as a volunteer;
  • Receive telephone calls, text messages, or emails through DefendHub;
  • Participate in an event, training, survey, hotline, voter-assistance program, civic-engagement program, election-protection program, or other DefendHub-supported activity; or
  • Otherwise interact with DefendHub’s websites, applications, portals, communications systems, personnel, volunteers, organizational users, or services.

Collectively, these offerings are referred to as the “Services.”

1. Scope of This Privacy Policy

This Privacy Policy applies to personal information that DefendHub handles for its own operational purposes and to personal information that DefendHub processes on behalf of organizations using the Services.

Organizations using DefendHub may include campaigns, political committees, political parties, nonprofit organizations, civic organizations, legal organizations, volunteer groups, educational institutions, advocacy organizations, and other approved entities (“Organizations”).

An Organization may maintain its own privacy policy and may independently determine how it collects and uses personal information. When DefendHub processes information solely on an Organization’s behalf, that Organization is responsible for its instructions and privacy practices.

Organizations may use personal information obtained through DefendHub only for the particular request, program, campaign, volunteer activity, assistance matter, or other purpose that generated the contact. Organizations may not use DefendHub contact information for unrelated outreach, independent marketing, separate campaigns, fundraising, list-building, data enrichment, or other unrelated purposes unless the individual separately and affirmatively consents.

You should review the privacy policy of any Organization with which you interact in addition to this Privacy Policy.

This Privacy Policy does not apply to third-party websites, applications, organizations, or services that do not display or incorporate this Privacy Policy.

2. Personal Information We Collect

The information we collect depends on how you interact with DefendHub.

A. Contact and identifying information

We may collect:

  • Name;
  • Email address;
  • Telephone number;
  • Mailing address;
  • City, state, ZIP code, county, precinct, ward, district, campus, or geographic area;
  • Preferred language;
  • Communication preferences;
  • Organizational affiliation;
  • Social-media username or other contact identifier; and
  • Other information you provide to identify or contact you.

B. Account and organizational information

When you create or use an account, we may collect:

  • Username and password or authentication credentials;
  • Account role and permissions;
  • Organization name and position;
  • Team membership;
  • Account activity;
  • Login dates and times;
  • Security and authentication records;
  • Assigned locations, regions, cases, shifts, programs, or projects; and
  • Administrative settings and preferences.

Passwords may be stored through a secure, hashed authentication process rather than in readable form.

C. Assistance requests, reports, and communications

When you request assistance or communicate through the Services, we may collect:

  • The content and subject of your request;
  • Questions, concerns, incident descriptions, or complaints;
  • Election, voting, registration, accessibility, or civic-engagement information;
  • Relevant dates, locations, polling places, government offices, or jurisdictions;
  • Documents, photographs, screenshots, recordings, or other attachments;
  • Messages exchanged with staff, volunteers, attorneys, Organizations, or other participants;
  • Notes concerning follow-up efforts and the resolution of a request; and
  • Call, text-message, and email delivery information.

Please do not provide Social Security numbers, financial account credentials, passwords, complete medical records, or other highly sensitive information unless DefendHub specifically requests that information through a designated secure process.

D. Volunteer information

When you apply or register to volunteer, we may collect:

  • Contact information;
  • Availability;
  • Preferred assignments;
  • Skills, experience, licenses, and qualifications;
  • Languages spoken;
  • School, employer, profession, or professional affiliation;
  • Geographic and travel preferences;
  • Training status;
  • Shift attendance;
  • Participation and assignment information;
  • Emergency contact information, if requested;
  • Accessibility or accommodation requests; and
  • Other information reasonably needed to evaluate, train, coordinate, support, or assign volunteers.

Additional disclosures or authorizations may apply if a particular volunteer role requires credential verification, a background check, or the collection of other sensitive information.

E. Civic, political, and potentially sensitive information

Depending on the particular program, you or an Organization may provide information concerning:

  • Voter-registration status;
  • Voting method or voting plans;
  • Precinct, ward, district, or polling location;
  • Civic or political interests;
  • Political or organizational affiliations;
  • Participation in campaigns, parties, or advocacy groups;
  • Disability or accessibility needs;
  • Language-assistance needs; or
  • Other information that may be treated as sensitive personal information under applicable law.

We use this information only for the particular request, program, assignment, assistance matter, civic-engagement activity, election-protection activity, or other purpose that generated the contact, together with related administrative, security, legal, and compliance purposes.

We do not sell this information.

F. Information submitted by Organizations

Organizations may upload, enter, synchronize, or otherwise provide personal information about their members, supporters, volunteers, staff, prospective volunteers, people who requested assistance, or other contacts.

This information may include:

  • Names and contact information;
  • Communication history and preferences;
  • Consent and opt-out records;
  • Volunteer or membership status;
  • Assignments and geographic information;
  • Notes or tags;
  • Information submitted through an Organization’s forms; and
  • Other information the Organization is legally permitted to process through DefendHub.

Organizations are responsible for ensuring that they have the necessary authority, consent, or other lawful basis to provide information to DefendHub.

Organizations may process this information through DefendHub only for the specific request, program, campaign, volunteer activity, assistance matter, event, or project that caused the information to be collected or submitted.

G. Device, website, and usage information

When you use the Services, we may automatically collect:

  • Internet Protocol address;
  • Browser type;
  • Device type and operating system;
  • Device identifiers;
  • Pages, features, or links accessed;
  • Referring website;
  • Dates and times of access;
  • Approximate location derived from an IP address;
  • Application performance and error records;
  • Cookie and session information; and
  • Security, fraud-prevention, and diagnostic information.

We may collect more precise location information only when a feature requires it and you authorize the applicable device or browser permission, such as for shift check-in or location-based assignments.

H. Telephone, text-message, and email information

We may collect and maintain:

  • The telephone number or email address used;
  • The date and time of a communication;
  • Message content;
  • Delivery, bounce, and error information;
  • Call duration and disposition;
  • Responses and engagement;
  • Consent records;
  • Opt-out, unsubscribe, and do-not-call requests;
  • The identity of the Organization or program responsible for the communication; and
  • Internal follow-up notes.

I. Call monitoring and recording

Telephone calls made to or from DefendHub or through DefendHub-supported programs may be monitored or recorded for:

  • Quality assurance;
  • Training;
  • Safety and security;
  • Documentation of requests or incidents;
  • Program administration;
  • Dispute resolution;
  • Fraud prevention; and
  • Legal and regulatory compliance.

Where required by applicable law, we or the Organization responsible for the call will provide notice or obtain consent before recording begins.

If you do not wish to participate in a recorded call, you may tell the caller or end the call and request another available communication method. An alternative communication method may not always be available.

3. Sources of Personal Information

We may collect personal information:

  • Directly from you;
  • From an Organization you contacted or authorized;
  • From a person submitting information on your behalf;
  • From DefendHub staff, volunteers, contractors, or program partners;
  • Through websites, forms, applications, communications systems, cookies, and similar technology;
  • From service providers supporting our operations;
  • From lawfully available government records, civic records, voter records, or public sources, where applicable;
  • From professional, educational, organizational, or social-network sources you authorize or make publicly available; and
  • From another person or entity legally permitted to provide the information.

Anyone submitting information about another person must have appropriate authority to do so and must not knowingly provide false, misleading, unlawfully obtained, or unauthorized information.

4. How We Use Personal Information

We may use personal information to:

  • Operate, maintain, administer, and secure the Services;
  • Create and manage accounts;
  • Respond to requests for information or assistance;
  • Route a request to an appropriate Organization, staff member, volunteer, attorney, election official, government agency, or other relevant recipient;
  • Communicate about a request, report, assignment, case, shift, event, training, deadline, or program;
  • Recruit, screen, train, assign, support, and coordinate volunteers;
  • Provide election-protection, civic-engagement, voter-assistance, or related services;
  • Send alerts, reminders, confirmations, updates, and follow-up communications;
  • Process and honor communication preferences, opt-outs, unsubscribe requests, and do-not-call requests;
  • Verify identity, authority, account access, or credentials;
  • Prevent fraud, harassment, abuse, unauthorized access, voter intimidation, deceptive practices, and unlawful conduct;
  • Maintain records of consent and compliance;
  • Provide technical support;
  • Improve the accessibility, usability, effectiveness, and security of the Services;
  • Analyze program performance and prepare aggregated reports;
  • Conduct research using aggregated or deidentified information;
  • Enforce our agreements and policies;
  • Protect DefendHub, Organizations, users, volunteers, voters, and the public;
  • Respond to legal process or comply with applicable law; and
  • Carry out another purpose disclosed at the time information is collected or with your authorization.

DefendHub and participating Organizations will use your contact information and submitted information only for the particular request, program, campaign, volunteer activity, assistance matter, event, or project that generated the contact, together with reasonably related administration, follow-up, security, compliance, and recordkeeping.

Information will not be repurposed for an unrelated program, campaign, fundraising activity, marketing effort, or organizational contact list without separate notice and any consent required by law.

5. Telephone, Text-Message, and Email Communications

A. Responding to you

When you provide a telephone number or email address and contact DefendHub or an Organization using DefendHub, you authorize DefendHub and the relevant Organization to respond regarding the particular request or program for which you provided that information, subject to applicable law.

Communications may concern:

  • Your request or report;
  • Follow-up questions;
  • Assistance status;
  • Volunteer opportunities connected to the program for which you registered;
  • Training and shift information;
  • Scheduling;
  • Civic or election-related updates connected to the relevant program;
  • Applicable deadlines;
  • Program administration; or
  • Closely related information.

Providing information for one program does not authorize DefendHub or an Organization to contact you about an unrelated campaign, program, fundraising effort, commercial offer, or organizational initiative.

B. Automated communications

Where required, DefendHub or the applicable Organization will obtain appropriate consent before using an automatic telephone dialing system, artificial or prerecorded voice, automated text-message platform, or similar technology.

Consent to recurring automated calls or text messages is not a condition of purchasing goods or services.

Message frequency varies. Message and data rates may apply.

C. Opting out of text messages

You may opt out of a text-message program at any time by replying STOP to a message from that program.

You may also send a clear request to stop text messages through another reasonable method made available by DefendHub or the responsible Organization.

We may send one final confirmation message acknowledging the opt-out.

Reply HELP for assistance.

An opt-out applies to the program, sender, Organization, telephone number, or category of communications identified in the request or confirmation. You may ask DefendHub to stop all nonessential calls and text messages from DefendHub.

D. Opting out of email

You may unsubscribe from outreach, newsletter, recruitment, or promotional emails by using the unsubscribe link included in the email or by contacting us.

Even after an unsubscribe request, we may send limited nonpromotional communications involving:

  • Account security;
  • Changes to legal terms;
  • A pending request initiated by you;
  • Required administrative notices; or
  • Other communications permitted by law.

E. Opting out of telephone calls

You may ask a caller to place your number on the applicable do-not-call or suppression list.

You may also contact DefendHub and identify the telephone number that should no longer receive calls.

We will process clear opt-out and do-not-call requests within the period required by applicable law.

F. Wrong numbers and reassigned numbers

If you receive a communication intended for someone else, reply STOP, tell the caller that the number has been reassigned, or contact us.

We may maintain a suppression record to prevent additional communications.

6. How We Disclose Personal Information

We may disclose personal information only as described below.

A. Service providers

We may disclose information to vendors and contractors that perform services on our behalf.

DefendHub currently uses or anticipates using the following primary technology providers:

  • Lovable, for application development, application infrastructure, website functionality, database-connected workflows, or related software services; and
  • Telzio, for telephone, text-message, call-routing, voicemail, call-recording, or related communications services.

We may also use vendors providing:

  • Cloud hosting and storage;
  • Identity and access management;
  • Email delivery;
  • Customer support;
  • Analytics;
  • Cybersecurity;
  • Professional consulting;
  • Data backup;
  • Compliance support; or
  • Other operational services.

Service providers may process personal information only as reasonably necessary to perform contracted services for DefendHub or the applicable Organization, comply with law, protect their systems, or fulfill other limited purposes allowed by their agreements with us.

Service providers are not authorized to use DefendHub contact information for their own independent advertising, marketing, fundraising, or outreach.

B. Organizations and program partners

If you contact, register with, volunteer for, or request assistance from an Organization or joint program, we may disclose relevant information to that Organization and its authorized personnel.

We may also disclose relevant information to a participating campaign, political party, nonprofit organization, legal organization, civic organization, educational institution, volunteer coordinator, election official, government agency, or other program partner when necessary to:

  • Respond to your request;
  • Coordinate a volunteer assignment;
  • Investigate or resolve a report;
  • Provide requested assistance;
  • Protect voting rights or public safety; or
  • Administer the specific program in which you participate.

Recipients may use the information only for the particular request, program, volunteer activity, assistance matter, event, campaign, or project that generated the contact.

Recipients may not use the information for unrelated outreach, fundraising, marketing, list-building, data enrichment, or a separate campaign or program unless you separately and affirmatively consent.

C. Legal and safety disclosures

We may disclose information when we reasonably believe disclosure is necessary to:

  • Comply with law, regulation, subpoena, court order, or legal process;
  • Respond to a lawful government request;
  • Prevent or investigate fraud, abuse, security incidents, unlawful communications, threats, intimidation, or violence;
  • Protect the rights, property, safety, or security of DefendHub, an Organization, a user, a volunteer, or another person;
  • Enforce an agreement or policy; or
  • Establish, exercise, or defend legal claims.

D. Professional advisers

We may disclose information to attorneys, accountants, auditors, insurers, security consultants, and other professional advisers subject to appropriate confidentiality obligations.

E. Organizational transactions

If VoPro Strategies LLC or DefendHub is involved in a merger, restructuring, financing, reorganization, dissolution, transfer, or acquisition, personal information may be disclosed as part of the evaluation or completion of that transaction, subject to applicable law.

Any successor must continue to honor the restrictions described in this Privacy Policy unless affected individuals receive additional notice and any legally required choice or consent.

F. At your direction

We may disclose information when you request, direct, or consent to the disclosure.

G. Aggregated or deidentified information

We may use and disclose information that has been aggregated or deidentified so that it cannot reasonably be linked to an identifiable individual.

We will not attempt to reidentify deidentified information except as permitted for security testing, validation, legal compliance, or another lawful purpose.

7. No Sale of Personal Information

DefendHub does not sell or rent personal information to data brokers, advertisers, political committees, campaigns, nonprofit organizations, vendors, or other third parties.

DefendHub does not disclose personal information for cross-context behavioral advertising or targeted advertising based on activity across unrelated businesses.

We do not use telephone numbers, email addresses, voter-assistance information, volunteer information, political information, civic information, or assistance-request information for third parties’ independent advertising, fundraising, campaigning, or marketing.

Mobile information will not be shared with third parties or affiliates for their own marketing or promotional purposes.

Text-message originator opt-in data and consent records will not be shared with third parties except:

  • Service providers that enable and support the applicable messaging program;
  • Legal- or regulatory-compliance providers;
  • The Organization for which the consent was specifically obtained; or
  • Another recipient when disclosure is legally required.

We do not knowingly sell or share the personal information of individuals under 16 years of age.

8. Information Processed for Organizations

When an Organization provides information to DefendHub and directs how it should be processed, DefendHub may act as the Organization’s service provider or processor.

In those circumstances:

  • The Organization determines the specific permitted program purpose for which the information is collected and used;
  • DefendHub processes the information under the Organization’s documented instructions and applicable agreement;
  • The Organization is responsible for providing required privacy notices and obtaining required permissions or consent;
  • The Organization is responsible for the accuracy and lawfulness of its contact lists;
  • The Organization may not use DefendHub information outside the specific request or program that generated the contact;
  • DefendHub may maintain suppression and compliance records even after the Organization deletes other information; and
  • Privacy requests may need to be directed to the Organization.

If you submit a privacy request to DefendHub concerning information controlled by an Organization, we may refer or transmit the request to that Organization.

9. Cookies and Similar Technologies

We may use cookies, local storage, pixels, session identifiers, and similar technology to:

  • Keep users signed in;
  • Remember preferences;
  • Secure accounts;
  • Prevent fraud;
  • Understand how the Services function;
  • Diagnose errors;
  • Measure program performance; and
  • Improve the Services.

You may be able to control cookies through your browser or device settings. Blocking necessary cookies may prevent portions of the Services from functioning.

DefendHub does not use advertising cookies or pixels to sell personal information or provide cross-context behavioral advertising.

Where required by applicable law, we will recognize legally valid browser-based opt-out preference signals for the browser or device sending the signal.

10. Data Retention

We retain personal information only for as long as reasonably necessary to:

  • Maintain an account;
  • Complete a request, assignment, case, or program;
  • Administer an election cycle or volunteer program;
  • Honor consent withdrawals and suppression requests;
  • Document communications compliance;
  • Protect the integrity and security of the Services;
  • Resolve disputes;
  • Enforce agreements;
  • Meet tax, accounting, insurance, contractual, or legal obligations; and
  • Establish or defend legal claims.

Retention periods depend on:

  • The nature and sensitivity of the information;
  • The particular program or request;
  • The purpose for which the information was collected;
  • Applicable contractual obligations;
  • The risk of harm from unauthorized use or disclosure; and
  • Legal requirements.

We may retain limited contact information indefinitely when necessary to prevent a person who opted out from being contacted again.

We may retain aggregated or deidentified information for research, analytics, historical reporting, and program evaluation.

11. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information.

Safeguards may include:

  • Role-based access controls;
  • Authentication requirements;
  • Encryption in transit and, where appropriate, at rest;
  • Logging and monitoring;
  • Vendor review;
  • Personnel confidentiality obligations;
  • Security training;
  • Data-minimization practices;
  • Backup and recovery procedures; and
  • Incident-response procedures.

No website, application, transmission method, or storage system is completely secure. We cannot guarantee that unauthorized access, loss, misuse, or alteration will never occur.

You are responsible for maintaining the confidentiality of your account credentials and promptly notifying us of suspected unauthorized access.

12. Your Choices and Privacy Rights

Depending on where you live and applicable legal exemptions, you may have the right to:

  • Confirm whether we process your personal information;
  • Access personal information;
  • Correct inaccurate personal information;
  • Delete personal information;
  • Obtain a portable copy of certain information;
  • Opt out of the sale of personal information;
  • Opt out of sharing for cross-context behavioral advertising;
  • Opt out of targeted advertising or certain profiling;
  • Limit or withdraw consent for processing sensitive personal information;
  • Appeal the denial of a privacy request; and
  • Receive equal service without unlawful discrimination for exercising a privacy right.

Because DefendHub does not sell personal information or use it for cross-context behavioral advertising, there may be no sale or advertising activity from which to opt out.

Your request should identify:

  • Your name;
  • Your contact information;
  • The nature of the request; and
  • The DefendHub account, Organization, request, or program involved.

We may take reasonable steps to verify your identity and authority before granting an access, correction, deletion, or portability request.

An authorized agent may submit a request where permitted by law. We may require evidence that the agent is authorized to act for you.

To appeal a privacy decision, contact us with the subject line “Privacy Request Appeal.”

Certain information may be exempt from a request, including information we must retain for security, fraud prevention, legal compliance, suppression records, internal administration, free-speech protections, or the establishment or defense of legal claims.

13. Children’s Privacy

The Services are not directed to children under 13, and DefendHub does not knowingly collect personal information directly from children under 13 without legally sufficient authorization.

Organizational accounts and independent volunteer accounts are generally limited to individuals who are at least 18 years old or the age of legal majority in their jurisdiction, unless a particular program expressly permits younger participants with appropriate parental or guardian authorization.

14. Third-Party Links and Services

The Services may link to election offices, government agencies, social networks, partner organizations, external forms, mapping services, or other third-party resources.

DefendHub does not control the privacy, security, accuracy, accessibility, or availability of third-party services.

Your use of a third-party service is subject to that service’s policies and terms.

15. United States Operations

DefendHub is operated in the United States and is primarily intended for users located in the United States.

If you access the Services from another country, your information may be transferred to, stored in, and processed in the United States, subject to applicable law.

16. Changes to This Privacy Policy

We may update this Privacy Policy periodically.

When we make material changes, we will update the “Last Updated” date and provide additional notice when required by law.

Changes apply prospectively unless otherwise stated. Where consent is legally required for a new use of information, we will request that consent separately.
